This article explains how wholesale orders are processed through Vietnam's bonded warehouses. It outlines each step, from order submission to international delivery, to help you understand what to expect and how to ensure a smooth fulfillment process.

Things to keep in mind

Submit the request

Fill out the Portless | Wholesale Form and include the following details:

  • Item quantities and correct HS Codes

  • Delivery addresses in destination countries

Once received, the Portless Customer Support Team verifies the details and confirms the order list with you.

Picking, packing, and confirming costs

The warehouse team picks and packs the requested items using the warehouse management system. Items are securely packaged, labeled with your order number and destination details, and prepared for export.

Next, the logistics team provides the estimated shipping cost:

  1. The warehouse measures and weighs the packed shipment.

  2. The logistics team requests a shipping quotation from the carrier.

  3. The Customer Support Team (CST) shares the cost estimate with you for confirmation.

Your confirmation allows the shipment to proceed to customs clearance.

Customs clearance and shipping

The warehouse team submits the export customs declaration using Vietnam’s VNACCS/VCIS system. Required documents include:

  • Commercial invoice

  • Packing list

  • Export customs declaration

  • Air waybill (AWB)

  • Certificate of origin

After customs approval, the carrier collects the cleared shipment and transports it to the airport for international shipping. Tracking details are recorded and shared with you.

Delivery and confirmation

Once the shipment arrives in the destination country:

  • If you selected DDP, the carrier manages customs clearance and invoices duties and taxes.

  • If you selected DDU, you or your 3PL handles customs clearance and duty payment.

After final delivery, your 3PL confirms receipt with the warehouse team.
